This privacy notice for SalesEcho ("Company," "we," "us," or "our") explains how and why we collect, use, and retain personal information when you use our AI-powered sales assistant platform. By accessing or using our services ("Services"), you acknowledge that you have read, understood, and agreed to this Privacy Policy in full. If you do not agree, you must not access or use the Services.
1. Information We Collect
We collect information in several ways to provide and improve our Services:
Account Information
When you create an account, we collect your name, email address, and authentication credentials. If you sign in via Google OAuth, we receive your basic profile information from Google.
Audio Recordings & Transcripts
Our core service involves recording and transcribing your sales conversations. This includes audio recordings from your microphone, browser tab audio, and the resulting transcripts with speaker identification.
Company & Sales Materials
You may upload company information, sales scripts, product documentation, and other materials to help our AI provide contextual assistance. This includes PDFs, text content, and sales context you provide.
Prospect & Attendee Research
When you use our meeting research features, we may collect and store publicly available information about meeting attendees, including names, job titles, company information, and LinkedIn profile data.
Calendar Integration
If you connect your Google Calendar, we access your calendar events to display upcoming meetings and attendee information. We store OAuth tokens securely to maintain this connection.
Usage & Device Information
We automatically collect IP addresses, browser type, device information, access timestamps, and usage patterns through cookies and similar tracking technologies.
Payment Information
Payment processing is handled by Stripe. We do not store your full credit card details; Stripe maintains this information according to their privacy practices.
2. How We Use Your Information
We use your information to: (a) Provide real-time AI sales assistance during your calls; (b) Generate transcripts, analysis, and post-call insights; (c) Research meeting attendees to provide conversation starters; (d) Improve our AI models and service quality; (e) Process payments and manage subscriptions; (f) Send service-related communications; (g) Detect and prevent fraud or abuse; (h) Comply with legal obligations.
3. AI & Machine Learning
We may use anonymized and aggregated data from your interactions to improve our AI models and service quality. If you prefer that your data not be used for these purposes, you may opt out by emailing ben@sales-echo.com with the subject line "AI Training Opt-Out." Note that opting out does not affect the processing required to provide you with the Services.
4. Data Sharing & Third-Party Services
We share your data with the following categories of service providers to operate our Services:
- Infrastructure & Database: Supabase (database hosting, authentication, file storage)
- Speech Transcription: Deepgram (real-time audio transcription)
- AI Processing: Groq (AI model inference for sales insights)
- Payments: Stripe (subscription and payment processing)
- Authentication: Google (OAuth sign-in)
- Email: ConvertKit (marketing communications)
- Analytics: Plausible, DataFa.st, Google Tag Manager, Facebook Pixel (usage analytics)
We may also share data: (a) With your consent; (b) To comply with legal obligations or respond to lawful requests; (c) In connection with a merger, acquisition, or sale of assets; (d) To protect our rights, privacy, safety, or property.
5. Data Retention
We retain your data for as long as your account is active. Audio recordings and transcripts are retained until you request deletion. You may delete your data at any time through your Account settings or by contacting ben@sales-echo.com. Upon account deletion or data deletion request, we will remove your personal data from our active systems, though some data may persist in backups for a limited period.
6. Your Rights & Choices
You may: (a) Access, update, or delete your account information through your Account settings; (b) Delete your sales sessions, recordings, and transcripts at any time; (c) Disconnect calendar integrations; (d) Opt out of AI training by emailing ben@sales-echo.com; (e) Unsubscribe from marketing emails. We will respond to data requests within a reasonable timeframe. Note that some data may be required to provide the Services, and deletion may affect your ability to use certain features.
7. Security
We implement industry-standard security measures through our infrastructure providers. Supabase, our primary infrastructure provider, maintains SOC 2 Type II certification. We use encryption in transit (TLS), row-level security policies for data isolation, and secure authentication practices. However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security, and use of our Services is at your own risk.
8. Children's Privacy
Our Services are not intended for users under 18 years of age. We do not knowingly collect personal information from children. If we discover that we have collected data from a child, we will delete it promptly.
9. International Data Transfers
Your data is processed and stored in the United States. By using our Services, you consent to the transfer and processing of your data in the United States. We do not currently offer region-specific data residency options.
10. Cookies & Tracking
We use cookies and similar technologies for: (a) Essential functionality (authentication, session management); (b) Analytics and performance monitoring; (c) Remembering your preferences. You can control cookies through your browser settings, though disabling certain cookies may affect the functionality of our Services.
11. Third-Party Links
Our Services may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties. We encourage you to review their privacy policies.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by updating the "Last updated" date and, where appropriate, providing additional notice. Continued use of the Services after changes constitutes acceptance of the updated policy.
